Terms and conditions of booking Oxton Hill Hideaway huts (see below for motorhome pitches)

​

No-one likes rules but sometimes we have to have them, primarily so you can really enjoy your visit to our farm and have a safe and relaxing stay. We want you to have a great time and come back again soon. With that in mind the following rules apply to guests visiting the farm and using accommodation.

 

Arrival time/departure

  • Reservations commence 2pm on the day of arrival, terminating 10.00am on the final day. The huts are self check in via a key lock code, the key is within the box which is located by the hut door.  

  • As the huts are on a farm it is a good idea not to arrive too late so you can easily find your accommodation, but should you be unavoidably delayed, please contact us direct on 07899962029. We are working farmers who have an early start in the morning!

  • A maximum of two persons for each hut

  • The huts and caravan park are for adults only.

  • Payments, refunds, rearrangements & cancellations

  • Full payment is due 7 days before date of arrival and payment will be taken (if not already done so, from the card provided at booking). In the event of a guest cancellation within 7 days of arrival date all monies will be forfeit. Should a payment method fail, the booking will be cancelled and/or alternative payment sought.  We will notify you of our concern and then if no reply is received or alternative payment is not received then the booking will be cancelled.  We reserve the right to obtain full payment should this occur within 7 days of the booked stay. Please ensure that you have arranged your own travel insurance to cover any cancellation as we do not provide this.

  • Once at 7 days before a stay, rearranged stays are at the discretion of the proprietor and subject to the original booking date being refilled.  No refunds for room or pitch bookings are available under any circumstance once 7 days before stay and any rearranged trip must be taken within 6 months of the original booking. Refunds will be provided for ancillary items such as bike hire, after noon teas (minus any card commissions). Refunds will be processed onto the card you have paid with and can take 5-10 days to process subject to bank/credit card internal processes and weekends/bank holidays beyond our control. An admin charge for refunds will be taken off the balance and not refunded.

  • The hut should be left in a clean and tidy condition, if there are breakages or damage is caused, recompense will need to be made prior to departure.  This includes damage/stains to laundry from dogs i.e. there is a minimum £10 charge for paw print stains on sheets. Should damage be found after guests have departed, payment will be taken using the card provided at booking and the booking agency informed (Airbnb, Booking.com etc). If you leave your hut in an improper condition, we are entitled to charge an extra fee of £30 of additional cleaning costs.

  • We reserve the right to terminate the visit of any person whose conduct is detrimental to the comfort of others, without recompense. 

  • When booking with with Pitchup, Airbnb, Campsites etc they may retain deposits/service commissions. We are not liable for deposit refunds with these companies nor any booking conditions within their organisations. When booking with Google Hotels or Google a non refundable deposit of 7% will be taken, trips can be rearranged using this deposit.

 

Terms and conditions for Caravan/camper van/motorhome pitches

​

Water: This is available opposite the camping field looking towards the horse paddocks.

Sewage disposal: This is by the main barn on the left on your way in and out of the site.  Pull in nearby (do not block the road) to dispose.

Refuse: please separate cans and bottles for recycling and place bagged refuse in the blue bin.

Charcoal BBQs and fire pits:  only to be placed on concrete slabs for fire risk reduction.  No fires permitted onto grass.

No ground sheets to be down longer than 2 days.

Please always drive on the farm lanes other than your pitch to avoid damaging the grass. Your pitch may have reinforced mats.

No loud music is permitted.

Adult only no under 18s or children.

Quiet time 11pm.

No guests to the site without site permission.

Well behaved dogs welcome but do please clear up after them.  Note the dog policy on our website relating to any dangerous dog breed.

No swimming in the lakes/ponds.

The below conditions apply to all guests on the farm

​

EV Charger

​

There is an EV charger available for guests to use on a first come basis.  Please book the charger prior to arrival.  We charge  at 75p per kWh and on reservation a £50 hold will be made on the card you booked with. Any balance after charging will be released.  For long stays requiring regular use of the charger a larger hold will be taken. Please notify us at the time of booking if you wish to use the charger. The charger is located at the front of the farm house, on the farm drive. It is only for guests staying on the farm.

Dog rules

 

We love dogs but not everyone else does and they can chew which would damage our lovely huts so dogs are only permitted when detailed & agreed at booking, and the huts are not suitable for very large dogs. Dogs cannot be left unaccompanied in the huts and must be crated if left. There is a £10 cleaning charge for pet guests and a £100 damage deposit refundable after your stay. Please try and sweep up from excessively hairy dogs before departure. Please also detail the breed of dog at booking (no dogs permitted on the Dangerous Dogs list) Any damage caused by pets will be charged for – this includes damage/staining to bedding caused by dogs being in beds.  It is strictly not permitted for dogs to be on beds as it is not fair on future guests so please use dog kits provided and/or bring a dog bed.  Dogs must be kept on a lead around the immediate farmyard and horse fields as we have livestock. Please do not wash dogs down in the shower, there is a hose by the farm back door or in the horse yard and towels are in the dog pack.

 

Countryside code – We provide maps of the farm with good walking routes,  when off the farm please keep to public footpaths/bridleways. Bring wellies in winter!

No smoking, candles or naked flames (candles/matches etc) allowed in any of the properties.

 

Log burning stove – please follow instructions provided and only use wood (not coal). We will provide a starter pack of wood plus supplement when needed.

Fire pits - only use the wood provided - please follow instructions provided.

 

We reserve the right of entry to the properties at all reasonable times for the purposes of inspection or to carry out repairs or maintenance.

 

In the unlikely event that we have to cancel the reservation due to circumstances beyond our control, we will provide a full refund of monies paid. No further financial claims will be considered.

 

Oxton Hill Hideaway only handles bookings from persons over 18 years of age and only takes guests over 18. We reserve the right, at all times – without a statement of reasons – to refuse a booking. Unfortunately due to the profusion of water and the farm business no young children are permitted on the farm.

 

Force majeure

​

Force majeure as interpreted by Oxton Hill Hideaway exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Oxton Hill Hideaway, including threat of war, blockades, fire, floods, high winds, water & power disruption, disease (inc COVID-19)  and other disruptions or events. Oxton Hill Hideaway hosts are within their rights to close their location when they consider such circumstances as these make it necessary.

Liability

​

Oxton Hill Hideaway and the associated farm Dumble End Farm/DR Green Farms are not responsible for the theft of personal property belonging to guests, either in the property or of cars, bicycles or other vehicles left on the property. For security always lock your hut door on leaving. No liability will be accepted by us for accident or injury to guests or pets, either within the property or outside however it is your responsibility to report to us any accident whilst on the property and farm during your stay.

Complaints

Despite all the care of Oxton Hill Hideaway and the associated farm it may occur that you have a genuine complaint. Please do inform us as soon as possible if you have a complaint with your accommodation or if you find that anything is faulty within the accommodation that needs our attention, so that we can assist and repair or make alternative arrangements. Due to the limited period of hire, it may not be possible to repair such items during the period of hire.

 

Assumption of risk and safety

​

Please remember that you will be staying on a working farm with live animals, uneven ground, wintry conditions and potentially dangerous farm equipment among other hazards. Also, you must be aware that some of the equipment (such as the log burning stove) may be dangerous if misused. Whilst we take great care to keep you safe, accidents can happen and neither we nor the farm are responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise any children. If you notice that any equipment looks faulty and/or unsafe you must inform us as soon as possible.

The barn area and horse stables are strictly out of bounds for your own safety.  

 

Please do not enter any paddocks with horses in, the fencing may be electrified (which will give you a jolt) and do not allow dogs to enter paddocks. Please do not feed the horses.

A working farm will be noisy at busy times, during summer there may be combining in neighbouring fields which can be dusty!

FACEBOOK AND INSTAGRAM COMPETITION TERMS AND CONDITIONS

The competition is open to anyone 18 years or over except employees of Oxton Hill Hideaway and their close relatives and anyone otherwise connected with the organisation or judging of the competition. 

 

There is no entry fee and no purchase necessary to enter this competition.

 

By entering this competition, an entrant is indicating his/her agreement to be bound by these terms and conditions.

 

The route to entry for the competition is to like the post on our Facebook or Instagram Page.

 

Any additional action (including sharing a post, commenting, watch party, tagging etc) are done at the entrant’s discretion and do not impact the outcome of the giveaway.

 

We will at no point contact any entrant via Direct Message to say they have won the giveaway and ask for a payment. 

 

Please do not give any billing information via messenger on Facebook to anyone who might try and pass off as an employee of Oxton Hill Hideaway

No responsibility can be accepted for entries not received for whatever reason.

 

Competition prizes must be used within one year of the competition unless otherwise stated.  No extension or rearrangements available.
